When you book a reservation, apply for membership, sign our liability waiver, or contact us through this site, we collect the information you provide directly: your name, email address, phone number, payment details (processed through Square), and any messages or preferences you share. When you sign our waiver electronically, we also record your signature, the date and time of signing, and the IP address you signed from, as evidence of consent.
We use your information to confirm reservations, process payments, send confirmations and reminders, maintain our member roster, and respond to your inquiries. Signed waivers are retained for our legal records.
We share information only with the services required to operate the lodge: payment processing (Square), email delivery (Resend), scheduling and document storage (Google Workspace — Calendar, Sheets, Drive), and internal staff notifications (Telegram). We do not sell your information, ever. We do not share it for marketing or advertising purposes.
Member records are retained for the duration of your membership plus 7 years for tax and legal compliance. Signed waivers are retained indefinitely as legal records. Booking and contact data is retained for 3 years.
You may request access to, correction of, or deletion of your personal information by contacting us at booking@cypresscreekshooting.com or (501) 557-3000. We'll respond within 30 days. Note that we may need to retain certain records (such as signed waivers) for legal compliance.
Payment card data is handled directly by Square and never touches our servers. Member records are stored in encrypted Google Workspace storage with access limited to authorized lodge staff. We use industry-standard precautions to protect your information.
